Sometimes, the date of birth, name, other personal details entered in the provident fund account will not match with the ones present in the Aadhaar Card. This will result in unnecessary hassles, delays at the time of withdrawal of money from the provident fund (PF) account during retirement. Hence it is better to rectify even the slightest mistake and get it corrected in the EPF account.

Almost all government organizations and even private firms have employees who are members of the Employee Provident Fund Organization (EPFO). If any employee is facing any mismatch in their name or date of birth and wishes to correct the same against their Universal Account Number (UAN), then both the employer and employee need to give in a joint request to the EPFO for correction.
The correction of name, date of birth in a provident fund account can be done both via online and offline mode.
The employee can make the necessary correction to your details online for which the following list of things are must and they are
- Aadhaar Card Number
- Access to EPFO's Unified Portal website
- An active UAN
- An employer needs to forward the request online to EPFO for correction.
Please Note: Before you proceed to make changes in the EPFO records, ensure that your Aadhaar Card has all the details accurately which you want to be corrected.
You may get the below-mentioned message, which states that "Aadhaar is already Verified. Your details are not editable", which means that your Aadhaar card has already been verified and no further changes can be done. Hence, if you have to make any changes in your Aadhaar card details, then you will first have to update that in Aadhaar so that later the necessary changes can be made in the EPFO account.
Steps to Update PF Details
- The updating of details in the provident fund account will happen in two levels one at the employee level and one at the employer level.
- First, the employee should submit changes online to the employer on the Member Unified Portal.
- The system will compare the requested changes with similar fields received from UIDAI platform.
- Post successful verification, the request will be transferred to the employer.
- The employer will later forward the same along with the employee's request for making necessary changes in EPFO details online to the EPFO.
- The EPFO processes the required corrections.
Steps to be Followed by Employee
Step 1: First login to the EPFO portal using the UAN and password.
Step 2: Click on the ‘Manage' option and choose ‘Modify Basic Details' button.
Step 3: Now enter the correct details as entered in Aadhaar Card (the system will verify the entered details with the UIDAI platform)
Step 4: Now click on ‘Update Details' on the previous screen. A request will be submitted to the employer for further approval. (If in case, if an employee prefers to withdraw the request, then they can do so by clicking on ‘Delete Request' option).
Steps to be Followed by Employer
Step 1: The employer should first login to the EPFO portal.
Step 2: Employer can view the change requests submitted by employees by clicking on ‘Member' option, proceed further and click on ‘Details Change Request'.
Step 3: Employer can now view the online request submitted by the employees and then take necessary actions by giving the proper remarks.
Step 4: After approving the request, the employer can see the latest status of the request.
Step 5: Post approval of the request by the employer, the request will appear as a task in the login of Dealing Hand of the concerned EPFO office, in the Field Office Interface of EPFO portal.
Step 6: The Dealing Hand can now log in and view the online request for a change to be made concerning personal information by clicking on ‘Member' option and on choosing the ‘Details Change Request' button.
Step 7: Dealing Hand will verify appropriately and will submit his/her recommendations to the Section Supervisor.
Step 8: After this, the Dealing Assistant can put the correction request of the employee either for approval or can reject it by selecting the appropriate button and by providing proper remarks.
Step 9: Proceeding further, the Section Supervisor can submit his or her recommendations to Assistant Provident Fund Commissioner (APFC) or Regional Provident Fund Commissioner (RPFC).
Step 10: Finally, the APFC or RPFC can either approve or reject the case.
Procedure to Change Date of Birth and Name in the Provident Fund through Offline Mode
If employees prefer to change their name and date of birth, then they can do so through offline mode as well. For this, a joint declaration of both the employer and employee has to be filled up and submitted to the EPFO along with supporting documents. The required correction in the provident fund account details will be made once the correction form is submitted.
